Behind the Scenes of Efficient Scheduling: How Managers Simplify Patient Care

Medical scheduling is at the heart of what we do at Direct PT/DX, and our team of knowledgeable and thoughtful scheduling managers ensure that our patients get the care they need as quickly and efficiently as possible. 

While many people know what medical scheduling is, few understand the day-to-day of the job, which is why we are taking you behind the scenes to learn how our managers and scheduling staff simplify patient care as well as some lesser-known facts about the role. 

First, what does it look like when Direct PT/DX gets a new patient? They are immediately connected with the scheduling department who then reaches out to the injured worker, verifying their demographics, asking screening questions and reviewing their availability. From there, they locate the necessary facilities and healthcare providers near the patient’s home or work and get them scheduled as soon as possible. It’s then the schedulers’ job to follow up with the injured worker with the details of their appointment, via phone, email and text. After the initial appointment is complete, the reporting department calls the facility for a report. 

Behind-the-scenes, schedulers are also coordinating additional care and locating new facilities that will accept worker’s compensation, all while being under a strict time constraint and dealing with unexpected challenges, like working with patients who have severe mental or physical limitations.

“It’s sometimes stressful, but once it all comes together and we are able to help the client and injured worker, it’s very rewarding,” said April Hughes and Kimberly Joiner, the Direct PT/DX scheduling managers.

Now that we know what the process looks like, we can dive into the “why” behind medical scheduling. The main goal of the scheduling process is to get injured workers diagnostic and therapy treatments as soon as possible. Quick scheduling means they get treated sooner, enabling them to get back to work as soon as possible. This also saves clients – the employers and adjusters – money.
